These Terms & Conditions apply to services supplied by Adapts Business Group Ltd, trading as Help for Hosts ("Help for Hosts", "we", "us" or "our") to customers ("you" or "your").

By requesting, booking or purchasing any Help for Hosts service, you agree to these Terms & Conditions.
These Terms & Conditions apply to services provided directly to holiday-let and property owners by Help for Hosts.
They do not apply to the Help for Hosts Partner/Licence Programme, which is governed by separate Partner Licence Terms & Conditions.

1. ABOUT HELP FOR HOSTS

Help for Hosts provides practical support services for holiday-let and short-term rental property owners.
Our services include:

  • property inspections;
  • property care and maintenance coordination;
  • guest communication support;
  • contractor sourcing and coordination;
  • keyholding and property access services;
  • inventories and stock checks;
  • emergency support and coordination;
  • contractor access coordination;
  • compliance certificate booking and coordination;
  • professional photography coordination;
  • website and digital support;
  • holiday-let marketing support;
  • listing reviews;
  • holiday-let performance reviews;

Additional or bespoke services may be provided where agreed in advance. Where a service falls outside our standard packages or published services, we will provide a quotation before the work is undertaken.

Help for Hosts is a support and coordination business. Unless specifically agreed otherwise in writing, we do not act as a booking platform, letting agent, estate agent or specialist contractor.

2. DEFINITIONS

In these Terms & Conditions:
"Customer", "you" or "your" means the person or business purchasing or requesting Services.
"Help for Hosts", "we", "us" or "our" means Adapts Business Group Ltd trading as Help for Hosts.
"Property" means the holiday let, short-term rental or other property for which Services are being provided.
"Services" means any services supplied by Help for Hosts.
"Monthly Service" means a recurring monthly service purchased from Help for Hosts.
"Service Visit" means a visit to the Property carried out as part of an agreed Service.
"Third-Party Supplier" means an independent contractor, tradesperson, photographer, cleaner, certification provider or other external supplier.

3. ENTERING INTO A CONTRACT

A contract between you and Adapts Business Group Ltd trading as Help for Hosts is formed when:

  • you accept a quotation;
  • you book a Service;
  • you purchase a Service through our website;
  • you agree to a Service by email or another written communication; or
  • we otherwise confirm that we will provide the Service.

The contract consists of these Terms & Conditions together with any specific quotation, booking confirmation, service description or other written agreement provided to you.
Where a specific written agreement conflicts with these Terms & Conditions, the specific agreement will apply to that particular Service.

4. OUR SERVICES

We will provide the Services described on our website, quotation, booking confirmation or other written agreement.
The precise scope of a Service may vary according to the package selected and the individual requirements of the Property.
We will provide our Services with reasonable care and skill.
Unless specifically stated otherwise, our Services do not include:

  • specialist building inspections;
  • structural surveys;
  • specialist electrical or gas work;
  • repairs;
  • replacement parts;
  • specialist cleaning;
  • gardening;
  • building work;
  • legal advice;
  • tax advice;
  • insurance advice;
  • or other specialist professional services.

Where such work is required, we may help arrange an appropriate Third-Party Supplier.

5. PROPERTY INSPECTION SERVICE

Our Property Inspection Service provides regular scheduled visits to the Property.
Depending on the Property and agreed Service, a visit may include:

  • a general visual inspection;
  • checking heating where reasonably accessible;
  • checking water systems where reasonably accessible;
  • checking for obvious maintenance issues;
  • checking visible lightbulbs;
  • checking general property condition;
  • clearing ordinary junk mail where appropriate;
  • identifying issues requiring attention;
  • and agreed follow-up communication.

The Property Inspection Service is a general visual inspection.
It is not:

  • a structural survey;
  • a building survey;
  • a professional electrical inspection;
  • a gas safety inspection;
  • a specialist damp inspection;
  • a fire risk assessment;
  • or any other specialist inspection.

We will not dismantle equipment, access unsafe areas or carry out specialist testing as part of a standard inspection unless specifically agreed.

6. PROPERTY CARE SERVICES

Our Property Care Services provide a higher level of regular property oversight than a standard inspection service.
Depending on the package selected, Services may include:

  • regular property visits;
  • general property checks;
  • checking heating and water where reasonably accessible;
  • identifying obvious maintenance issues;
  • checking visible lightbulbs;
  • checking general presentation;
  • clearing ordinary junk mail where appropriate;
  • identifying items requiring attention;
  • and agreed follow-up communication.

Property Care Services do not include the cost of:

  • repairs;
  • replacement parts;
  • contractors;
  • specialist inspections;
  • cleaning;
  • gardening;
  • decorating;
  • materials;
  • or other third-party services,

unless expressly stated as included in the agreed package.
Any additional chargeable work will normally be discussed with you before it is undertaken.
Where an urgent issue requires immediate action to prevent significant damage or address an immediate safety concern, we may take reasonable steps to protect the Property and contact an appropriate contractor.

7. PREMIUM FULLY SUPPORTED HOLIDAY LET SERVICES

Our Premium Fully Supported Holiday Let service provides a higher level of ongoing support for holiday-let owners.
Depending on the package selected, Services may include:

  • regular property oversight;
  • guest communication support;
  • maintenance coordination;
  • contractor coordination;
  • key and access support;
  • cleaning coordination;
  • property checks;
  • inventory and stock support;
  • general operational assistance;
  • administrative support;
  • and other agreed holiday-let support services.

The exact Services included will be confirmed when the package is purchased.
Third-party costs, specialist work, materials and services outside the agreed package are additional unless specifically stated otherwise.

8. DIGITAL SUPPORT SERVICES

Our Digital Support Services provide ongoing digital oversight and support for your holiday-let business.
Depending on the Service selected, this may include:

  • general oversight of your Airbnb or other online listing;
  • website oversight;
  • identifying obvious issues with online presentation;
  • general digital recommendations;
  • minor agreed support tasks;
  • and general assistance with your online presence.

Digital Support Services do not include unlimited website development, SEO campaigns, advertising expenditure, major website redevelopment or extensive content creation unless separately agreed.
Website design, development or update work outside an agreed package may be charged separately. The applicable charge will be confirmed before the work is undertaken.

9. HOLIDAY-LET GROWTH REVIEW

Help for Hosts may provide a Holiday-Let Growth Review designed to assess the presentation, marketing and commercial performance of a holiday let and identify opportunities for improvement.
The review may consider:

  • listing presentation;
  • photography;
  • property description;
  • pricing and positioning;
  • guest experience;
  • marketing;
  • online presence;
  • direct booking opportunities;
  • potential improvements;
  • and other factors that may affect performance.

The Growth Review provides recommendations and practical guidance.
It does not guarantee increased bookings, occupancy, revenue or profit.

10. LISTING CHECKS

Where offered, Help for Hosts may provide a free initial Listing Check.
This is a brief initial review designed to identify obvious opportunities for improvement.
It is not a full marketing audit, valuation or performance assessment.
There is no obligation to purchase additional Services following a Listing Check.

11. PROFESSIONAL PHOTOGRAPHY

Help for Hosts may arrange professional photography through independent professional photographers.
Photography packages and any additional photography services are listed separately on our website or will be confirmed before the photography is ordered.
Photographers are independent Third-Party Suppliers.
Help for Hosts may coordinate the booking but is not responsible for the photographer's artistic style, availability, weather conditions, equipment failure or other matters outside our reasonable control.
Copyright and usage rights relating to photographs are subject to the photographer's terms.
You should ensure that you understand any restrictions on the use of photographs before using them commercially.

12. COMPLIANCE CERTIFICATE BOOKING

Help for Hosts can arrange and coordinate certain property compliance certificates.
The applicable Help for Hosts administration or booking charge and the cost of the relevant certificate will be confirmed before the service is ordered.
Certificates may include, where appropriate:

  • Gas Safety Certificate / CP12;
  • Electrical Installation Condition Report / EICR;
  • Portable Appliance Testing / PAT;
  • Energy Performance Certificate / EPC;
  • and other agreed compliance services.

The certificate itself is supplied by an appropriately qualified independent professional.
Help for Hosts does not provide specialist certification unless expressly stated.
The Property owner remains responsible for ensuring that the Property complies with all applicable legal and regulatory requirements.
Arranging a certificate does not transfer the Property owner's legal responsibilities to Help for Hosts.

13. CONTRACTOR AND MAINTENANCE COORDINATION

Where requested, Help for Hosts may assist with sourcing, contacting or coordinating contractors.
This may include:

  • plumbers;
  • electricians;
  • heating engineers;
  • locksmiths;
  • handymen;
  • cleaners;
  • gardeners;
  • maintenance contractors;
  • and other specialist trades.

Contractors are normally independent Third-Party Suppliers.
Help for Hosts does not itself carry out specialist trade work unless expressly stated.
You remain responsible for contractor charges, materials, repairs and other third-party costs.
Where practical, we will seek your approval before significant chargeable work is instructed.
However, where an urgent issue presents a reasonable risk of significant property damage or an immediate safety concern, you authorise us to take reasonable steps to protect the Property.

14. EMERGENCY AND ACCESS SERVICES

Help for Hosts may provide emergency attendance, tradesperson access, additional visits, lost-key administration, Bank Holiday attendance and other access-related Services.
The applicable charges for these Services are displayed separately on our website or will be confirmed before the Service is provided where reasonably practicable.
Third-party contractor costs are additional unless expressly stated otherwise.
An emergency attendance does not guarantee that the underlying problem will be resolved during that visit.
Where specialist work is required, the contractor's own charges will apply.

15. SERVICE AREAS AND TRAVEL

Help for Hosts Services may be subject to geographical service areas.
The standard service area applicable to a particular Service will be stated on the website, quotation or booking confirmation where relevant.
Additional travel or mileage charges may apply where a Property falls outside the standard service area.
Any applicable additional charge will be communicated before the Service is undertaken where reasonably practicable.

16. THIRD-PARTY SUPPLIERS

Some Services involve independent Third-Party Suppliers.
These may include:

  • photographers;
  • cleaners;
  • tradespeople;
  • certification providers;
  • website specialists;
  • marketing suppliers;
  • and other contractors.

Where we arrange a Third-Party Supplier on your behalf:

  1. we will take reasonable care when selecting or recommending the supplier;
  2. the supplier remains responsible for its own specialist services;
  3. the supplier may have its own terms and conditions;
  4. you remain responsible for the supplier's charges;
  5. we may provide the supplier with information necessary to arrange the Service; and
  6. you may need to raise specialist service complaints directly with the supplier.

Nothing in these Terms limits any legal rights you may have against Help for Hosts where we have failed to provide our own Services with reasonable care and skill.

17. CUSTOMER RESPONSIBILITIES

You agree to:

  • provide accurate information about the Property;
  • provide reasonable access where required;
  • provide working keys, codes or other access arrangements;
  • notify us of known hazards or safety concerns;
  • ensure the Property is legally permitted to operate as a holiday let where applicable;
  • maintain appropriate insurance;
  • ensure required licences, registrations and certificates are maintained;
  • provide accurate emergency contact information;
  • respond reasonably promptly when your approval is required;
  • and pay all agreed charges when due.

You remain responsible for the Property and for ensuring that it is suitable and legally compliant for its intended use.

18. PROPERTY ACCESS

You authorise Help for Hosts and its authorised representatives or contractors to access the Property where reasonably necessary to provide an agreed Service.
You may provide:

  • physical keys;
  • key-safe access;
  • access codes;
  • digital access;
  • or another agreed method.

You must notify us promptly of any change to access arrangements.
If we are unable to access the Property because of incorrect, missing or non-functioning access information supplied by you, an additional visit may be chargeable.
We will take reasonable care of keys and access information provided to us.

19. MONTHLY SERVICES

Monthly Services are normally provided on a rolling monthly basis.
Unless otherwise agreed in writing, there is no long-term contract or tie-in.
Monthly Services are normally paid monthly in advance by Direct Debit or another agreed payment method.
You may cancel a rolling Monthly Service by giving 30 days' notice, subject to any statutory cancellation rights that may apply.
Where a different minimum term or cancellation arrangement has been specifically agreed in writing, that agreement will apply.

20. PRICES AND ADDITIONAL CHARGES

Current prices for Help for Hosts Services are displayed separately on our website and/or will be confirmed to you before you purchase a Service.
The price applicable to your Service will be the price stated at the time of booking or otherwise agreed with you.
Prices may change from time to time. Changes to published prices will not affect Services that you have already purchased and paid for.
Unless expressly stated otherwise, the price of a Service does not include:

  • third-party contractor charges;
  • materials;
  • replacement parts;
  • specialist services;
  • additional travel or mileage;
  • or other external costs.

Where additional costs are reasonably foreseeable, we will aim to inform you before they are incurred.
Where immediate action is reasonably necessary to protect the Property or address an urgent safety issue, we may incur reasonable third-party costs in accordance with these Terms.

21. PAYMENT

Invoices and charges must be paid by the date stated on the invoice, booking confirmation or other payment request.
If payment becomes overdue, we may contact you to request payment.
Where an amount remains unpaid, we may suspend non-essential Services until payment is brought up to date.
Suspension will not remove any statutory rights you may have.

22. CANCELLATION AND CONSUMER COOLING-OFF RIGHTS

Where you are a consumer entering into a contract with us online, by telephone or another distance method, you may have a statutory 14-day cancellation period.
Nothing in these Terms is intended to remove or restrict statutory cancellation rights.
If you ask us to begin providing Services during the 14-day cancellation period, you may be required to pay for Services actually supplied up to the point of cancellation where permitted by law.
Where digital content is supplied immediately, specific rules may apply where you expressly consent to immediate supply and acknowledge the effect on your cancellation rights.
We will provide any information required by applicable consumer legislation before the contract is concluded.

23. CANCELLATION OF INDIVIDUAL SERVICES

If you cancel an individual Service after booking, we will seek to deal with the cancellation fairly.
Where a non-refundable Third-Party Supplier cost has already been incurred on your behalf and cannot reasonably be recovered, that cost may remain payable where legally permitted.
Where a Service has already been provided, payment may remain due for the Service supplied.
We will not impose disproportionate cancellation charges.

24. RESCHEDULING

We will make reasonable efforts to attend Property visits and other appointments at agreed times.
Appointments may occasionally need to be rearranged because of:

  • illness;
  • severe weather;
  • emergencies;
  • contractor availability;
  • access problems;
  • vehicle or travel problems;
  • safety concerns;
  • or circumstances outside our reasonable control.

Where this happens, we will seek to rearrange the Service as soon as reasonably practical.


25. WEATHER AND SAFETY

We will not knowingly place our staff, Partners, contractors or representatives at unreasonable risk.
A visit may be postponed where conditions make travel or attendance unsafe.
This may include:

  • severe weather;
  • flooding;
  • dangerous access;
  • structural concerns;
  • or other safety risks.

Where reasonably possible, we will notify you and rearrange the visit.

26. PROPERTY CONDITION AND PRE-EXISTING DAMAGE

We will take reasonable care when providing Services.
We are not responsible for:

  • pre-existing damage;
  • normal wear and tear;
  • defects that could not reasonably have been identified;
  • deterioration of the Property;
  • damage caused by guests;
  • damage caused by third parties;
  • or issues outside our reasonable control.

Where we identify an apparent issue during a Service Visit, we will normally notify you and recommend appropriate action.

27. BUSINESS PERFORMANCE

Help for Hosts provides practical support, advice and Services intended to assist holiday-let owners.
However, holiday-let performance depends on numerous factors outside our control.
We do not guarantee:

  • occupancy;
  • booking levels;
  • revenue;
  • profit;
  • guest reviews;
  • search rankings;
  • Airbnb or other platform rankings;
  • direct bookings;
  • website traffic;
  • enquiries;
  • marketing results;
  • or return on investment.

Any projections, recommendations or assessments are guidance only and are not guarantees of future performance.

28. DIGITAL SERVICES AND THIRD-PARTY PLATFORMS

Where we provide digital, website or listing support, you remain responsible for the accuracy of information supplied to us.
You are responsible for ensuring that you have the necessary rights to use:

  • photographs;
  • written content;
  • logos;
  • videos;
  • trademarks;
  • and other materials supplied by you.

We may rely on third-party platforms including booking platforms, website hosting providers and social media platforms.
We cannot guarantee continuous availability or uninterrupted operation of third-party platforms.

29. MARKETING MATERIAL

Where we create or assist with marketing material, we will use information provided by you and information reasonably available to us.
You are responsible for checking factual information about your Property before publication.
This includes:

  • prices;
  • facilities;
  • availability;
  • distances;
  • local attractions;
  • accessibility information;
  • property rules;
  • and other factual information.

You should notify us promptly if any information becomes inaccurate.

30. INTELLECTUAL PROPERTY

Help for Hosts and Adapts Business Group Ltd retain ownership of their own:

  • business systems;
  • processes;
  • templates;
  • operational documents;
  • training materials;
  • marketing frameworks;
  • branding;
  • logos;
  • and other intellectual property.

You may use materials supplied specifically for your Property for their intended purpose, subject to any applicable third-party rights.
You must not reproduce, sell, distribute or commercially exploit Help for Hosts proprietary materials without our written permission.
Third-party materials remain subject to the rights of their respective owners.

31. PHOTOGRAPHY COPYRIGHT

Where professional photography is arranged through an independent photographer, copyright and usage rights are governed by the photographer's terms.
The fact that Help for Hosts has arranged or paid for photography does not automatically transfer copyright to you.
You are responsible for complying with any licence or usage restrictions attached to the photographs.

32. CONFIDENTIALITY

We will treat commercially sensitive information provided to us as confidential except where disclosure is:

  • necessary to provide the Services;
  • required by law;
  • necessary to protect health or safety;
  • necessary to communicate with an agreed Third-Party Supplier;
  • or authorised by you.

You must not disclose confidential Help for Hosts business systems, internal documents or proprietary materials to third parties without our written permission.

33. DATA PROTECTION

Adapts Business Group Ltd will process personal information in accordance with applicable UK data protection legislation and our Privacy Policy.
Personal information may be shared with Third-Party Suppliers where reasonably necessary to provide the Services.
This may include providing a contractor with:

  • your name;
  • contact details;
  • Property address;
  • access information;
  • and details of the required work.

We will handle personal information in accordance with applicable data protection requirements.

34. COMMUNICATION

We may communicate with you by:

  • email;
  • telephone;
  • WhatsApp;
  • text message;
  • or another agreed communication method.

You are responsible for keeping your contact details up to date.
Where urgent action is required, we may use the fastest reasonable communication method available.

35. COMPLAINTS

If you are unhappy with a Service, please contact us as soon as reasonably possible so that we have an opportunity to investigate and resolve the matter.
Complaints should normally be submitted in writing by email.
We will review complaints fairly and aim to respond within a reasonable period.
Where a Third-Party Supplier is responsible for specialist work, we may assist you in raising the matter with that supplier.

36. EVENTS OUTSIDE OUR CONTROL

We are not responsible for failure or delay caused by circumstances outside our reasonable control.
These may include:

  • extreme weather;
  • flooding;
  • fire;
  • power failure;
  • telecommunications failure;
  • transport disruption;
  • illness;
  • government restrictions;
  • natural disasters;
  • industrial disputes;
  • third-party platform outages;
  • contractor failure or unavailability;
  • or other circumstances that could not reasonably have been prevented.

We will take reasonable steps to minimise the effect of such circumstances.

37. CHANGES TO SERVICES

We may make reasonable changes to our Services where necessary to:

  • improve the service;
  • reflect technological changes;
  • comply with legal or regulatory requirements;
  • reflect changes to third-party services;
  • or improve operational efficiency.

We will not materially reduce an agreed Service without reasonable notice where the change would significantly affect what you have purchased.

38. TERMINATION

Either party may terminate a rolling Monthly Service in accordance with the applicable notice period.
We may suspend or terminate Services where:

  • payment remains seriously overdue;
  • you repeatedly fail to provide required access;
  • you behave abusively, threateningly or inappropriately towards our staff, Partners or contractors;
  • providing the Service creates an unreasonable safety risk;
  • you ask us to undertake unlawful activity;
  • or continuing the Service is no longer reasonably possible.

Where appropriate, we will provide reasonable notice and an opportunity to resolve the issue before termination.
Termination does not remove liability for charges properly due for Services already supplied.

39. EFFECT OF TERMINATION

When Services end:

  • ongoing Services will cease at the end of the applicable notice period;
  • outstanding invoices remain payable;
  • Third-Party Supplier costs already incurred on your behalf may remain payable where legally permitted;
  • confidential information must continue to be treated as confidential;
  • and intellectual property rights continue to apply.

40. SUBCONTRACTING

We may use suitably qualified independent contractors or suppliers to assist in providing Services.
Where we do so, we remain responsible for the Help for Hosts Services we have agreed to provide, subject to these Terms & Conditions and applicable law.

41. ASSIGNMENT

You may not transfer your agreement with Help for Hosts to another person without our agreement.
We may transfer or reorganise our business or the provision of Services where reasonably necessary, provided this does not unfairly reduce your legal rights.

42. ENTIRE AGREEMENT

These Terms & Conditions, together with any quotation, booking confirmation, service description, invoice or other written agreement provided to you, form the agreement between you and Adapts Business Group Ltd trading as Help for Hosts for the relevant Services.

43. SEVERABILITY

If any provision of these Terms is found to be invalid, unlawful or unenforceable, that provision will be treated as removed or modified to the minimum extent necessary.
The remaining provisions will continue to apply.

44. NO WAIVER

If we do not immediately enforce a provision of these Terms, this does not mean that we have waived our right to enforce it later.

45. GOVERNING LAW

These Terms & Conditions are governed by the laws of England and Wales, unless applicable law requires otherwise.
Any dispute will be subject to the jurisdiction of the courts of England and Wales, subject to any mandatory rights you may have as a consumer.

46. STATUTORY RIGHTS

Nothing in these Terms & Conditions is intended to remove or restrict any statutory rights you may have.
Where you are a consumer, the Services supplied by us will be provided in accordance with applicable consumer protection legislation.


47. HELP FOR HOSTS PARTNER/LICENCE PROGRAMME

These Terms & Conditions relate solely to Services supplied by Help for Hosts to customers.
They do not govern the Help for Hosts Partner/Licence Programme.
The Partner/Licence Programme is governed by separate terms covering matters including:

  • the Partner Licence;
  • territory rights;
  • licence fees;
  • Partner Membership;
  • training;
  • branding;
  • Partner resources;
  • Partner support;
  • renewal;
  • cancellation;
  • termination;
  • and other Partner obligations.

Where a person or business is both a Help for Hosts customer and a Help for Hosts Partner, the applicable agreement will depend on the Service or relationship concerned.
